Doody Enterprises, Inc. is seeking a part-time Book Inventory Specialist to join our team and serve as a critical force in accomplishing our day-to-day medical publishing operations.

Position Overview

 

The Book Inventory Specialist is responsible for the on-site book logistics workflow, including but not limited to book shipping, receiving, and maintenance. The day-to-day, on-site presence of this role is critical for delivering a smooth experience for and cultivating value-rich relationships with Doody’s participating publishers and reviewers.

 

Detailed Position Description

 

Book Receiving & Cataloging

  • Receive book shipments

  • Confirm receipt with senders as necessary

  • Shelve titles according to editorial group and/or subject matter

  • Maintain high quality catalog records

  • Enter newly received titles into database in a timely fashion

  • Provide accurate descriptive and subject metadata in preferred formats

  • Actively seek out missing information and correct errors as they are made known

 

Book Shipping

  • Pack and weigh outbound deliveries for reviewers (up to 50 lbs)

  • Monitor and communicate about delayed and outstanding shipments

  • Organize shipping directory

  • Print and apply shipping labels, tracking and voiding shipments as appropriate

  • Maintain shipping material inventory (e.g. boxes, packing materials, tape, packing slips)

  • Serve as on-site point of contact for shipping vendors 

 

Book Inventory

  • In coordination with COO, organize and maintain book inventory

  • Maintain shelflist for outgoing and unassigned titles

  • Run regular reports of single copy or missing titles and, in coordination with COO, conduct outreach to publisher contacts to obtain them

  • Assist in identifying opportunities to optimize review output

  • Weed outdated titles

  • Coordinate book donations for duplicate or irrelevant titles

 

Other Duties

  • Assist in the maintenance of all on-site technology

  • Check mail during each shift

  • Record checks in the Accounts Receivable Roster

  • Other duties as assigned

 

Position Requirements

 

The successful candidate must have

  • Strong attention to detail, excellent organizational and communication skills

  • Motivation to work independently and without supervision

  • Ability to stand for protracted periods of time

  • Ability to engage in active, non-stationary work for several hours at a time

  • Ability to prepare large boxes of books (up to 50 pounds) for outbound shipment

  • Have proficiency using Microsoft Office tools, including Outlook, Word, Excel, Access, and/or SharePoint

 

Preferred candidates will have

  • Book industry experience (bookselling, libraries, publishing, etc.)

  • Shipping/receiving experience

  • Data entry, cataloging, and/or database management experience

Job Title: Book Inventory Specialist

Reports to: Chief Operating Officer

Status: Part-time, 12-15 hours per week, in between 9am-5pm, Monday thru Friday

Anticipated start date: April 2026 or ASAP

Location: Oak Park, IL office

Salary/Wage: Starting $18-20/hour
